Attendee Data Report

The Attendee Data Report helps you view attendee and item-level (tickets, donations, other items) details across one or more events. Use it to find attendee names, emails, confirmation codes, check-in status, claimed ticket status, and order form responses.

This report is especially helpful when the attendee is different from the buyer, such as when a ticket has been shared and claimed.

Tip: Once your report is set up the way you want it, be sure to save it. You’ll then be able to quickly access it from your main Reports page, and the data will refresh automatically each time you load it.

What this report is best for

Use the Attendee Data Report when you need to:

  • View all your attendee information for specific events or dates
  • View order form responses aggregated across multiple events
  • View the check-in status for every attendee
  • Search for an attendee by name or email across all events

Each event has its own attendee list, but the global Attendee Data Report lets you view similar attendee information across multiple events and date ranges.

Key settings

Filter by Event

Select one or more events to include in your report.

This is especially important when you want to:

  • Build an aggregate report across multiple events
  • Limit results to specific events
  • View event-specific order form responses

Time frame

Choose the date range you want included in the report. Use this to narrow your results to the time period you want to review.

Search

Search for a specific attendee by name or email across all events. This is useful because the attendee’s name and email may differ from the buyer’s after a ticket has been shared and claimed.

Edit Columns

Choose which standard fields appear in the report. Add or remove fields such as attendee details, purchaser details, confirmation codes, and check-in status.

Custom Questions

Filter by the relevant event or events to add custom form questions to your report.

Common use cases

View custom question responses

Use this when you want to review answers collected during registration or checkout.

  1. Open Attendee Data Report.
  2. Choose your time frame.
  3. Filter by the event or events you want included.
  4. Click Custom Questions and choose the questions you want to display.
  5. Click Generate Report.

View all attendee data

Use this report to view attendee information.

  1. Open Attendee Data Report.
  2. Choose your time frame.
  3. Select your event(s) using Filter by Event.
  4. Click Edit Columns and include the fields you want to review.
  5. Click Generate Report.
